Location: Dubai (Company will provide Visa, ticket and ccomodation to the hired candidate)

Salary Range: 3000 AED

Working Hours: 10:00 am to 7:00 Pm

Reports to: Admin Manager

Job Summary:

We are seeking a dedicated and organized Administrative Assistant to join our team. The candidate will be responsible for ensuring the smooth and efficient operation of the office by providing administrative support, coordinating office activities, and managing day-to-day operations. The ideal candidate will be detail-oriented, proactive, and capable of multitasking in a fast-paced environment.

Key Responsibilities:

  • Office Management: Oversee daily office operations, ensuring a well-organized and efficient workplace.
  • Administrative Support: Provide administrative support to management and staff, including scheduling meetings, handling correspondence, and preparing reports.
  • Record Keeping: Maintain and update office records, files, and databases, ensuring confidentiality and accuracy.
  • Procurement and Supplies: Manage office supplies inventory, ordering and restocking items as necessary to ensure smooth workflow.
  • Coordination: Coordinate office activities and operations, ensuring that staff have the resources they need to work effectively.
  • Documentation: Prepare, file, and organize official documents, invoices, contracts, and reports.
  • Budgeting and Expense Tracking: Assist in monitoring office expenditures and ensuring they align with the set budget.
  • Travel Arrangements: Organize and coordinate travel arrangements for employees, including booking flights, accommodations, and transportation.

Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 2-3 years of experience in an administrative or office management role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
  • Strong written and verbal communication skills, with the ability to interact professionally with staff and external stakeholders.
  • Exceptional organizational and multitasking skills with a keen attention to detail.
  • Ability to solve administrative issues efficiently and maintain a smooth office workflow.
  • Capable of prioritizing tasks and managing time effectively in a busy office environment.
